Privacy Policy
How SwiftSignet collects, uses, discloses, protects and retains information when you use our website and electronic-signature services.
1. Scope
This policy applies to the SwiftSignet website, accounts and signing services. Customer organizations may separately control information they upload and may have their own privacy notices. Where SwiftSignet processes customer data on a customer's documented instructions, the customer may be the controller/business responsible for that processing.
2. Information we collect
- Account information such as name, email, company, password hash and authentication events.
- Documents, fields, signer names and email addresses, workflow settings and completed agreements.
- Audit and security information such as timestamps, IP addresses, user-agent/device information and signing events.
- Billing identifiers, subscription information and payment status received from payment providers.
- Support requests and communications.
- Technical information needed to operate, secure and troubleshoot the service.
3. How we use information
We use information to provide and secure SwiftSignet; authenticate users; send signing invitations and transactional emails; process subscriptions and purchases; generate audit trails; prevent fraud and abuse; provide support; maintain backups and reliability; analyze service performance; comply with law; and enforce our agreements. We do not sell customer documents as a business model.
4. Customer content and signer information
Documents and signer information are processed to carry out the sender's workflow. A signer may access a document through a secure invitation without creating an account. Signing events can include consent, timestamps, IP address and browser information. Customers should provide appropriate notices to their signers and should not upload information they are not authorized to process.
5. Service providers and disclosures
We may disclose information to infrastructure and service providers that help us operate SwiftSignet, including hosting, database, email, payment and storage providers. We may also disclose information when required by law, to protect rights and safety, to prevent fraud, or in connection with a merger, acquisition or similar corporate transaction. Current material subprocessors are listed on our Subprocessors page.
6. Payments
Payment card information is handled by the applicable payment processor. SwiftSignet receives billing and payment-status information needed to manage subscriptions and purchases. We do not intentionally store raw payment-card numbers in the SwiftSignet application database.
7. Cookies and similar technologies
SwiftSignet uses essential session and security technologies. See our Cookie Policy. We do not require advertising cookies for the core signing workflow.
8. Security
We use reasonable technical and organizational safeguards appropriate to the service, including authenticated sessions, password hashing, access controls, rate limiting, token hashing, audit logging and managed infrastructure. Security details are described at /security. No internet service can promise absolute security.
9. Retention and deletion
We retain information for as long as reasonably necessary to provide the service, maintain audit and security records, resolve disputes, comply with legal/accounting obligations and enforce agreements. Deletion requests may be subject to legal holds, backup cycles, fraud prevention and other lawful retention requirements. See our Data Retention page.
10. Privacy rights
Depending on where you live and which laws apply, you may have rights to access, correct, delete, obtain a copy of, or restrict certain personal information, or to object to certain processing. Requests can be sent to hello@swiftsignet.com. We may need to verify your identity and may rely on the customer organization where that organization controls the relevant data.
11. Children
SwiftSignet is a business productivity service and is not directed to children. Do not create an account if you are not legally able to enter the applicable agreement.
12. International processing
Our providers may process information in countries other than your own. Where applicable law requires transfer mechanisms or additional safeguards, SwiftSignet and the relevant customer will use the required arrangements.
13. Changes
We may update this policy as our service or legal obligations change. Material changes will be presented through the service or other reasonable notice, and the current version and effective date will remain publicly available.
